These Terms & Conditions govern all bookings and rentals made with Hoop New York (“we,” “us,” “our”). By booking an experience, submitting payment, or using our equipment, you agree to all terms below.
1. Booking & Payment
All bookings require a 50% non-refundable deposit at the time of booking to reserve your date, equipment, and staff.
The remaining balance is due no later than 7 days prior to your event unless otherwise specified in writing.
Bookings are considered confirmed once the deposit is received and fully finalized once the full balance has been paid.
2. Mileage & Travel Fees (2-Hour Experiences)
For 2-hour experiences, a $2 per mile travel fee applies and is calculated round-trip from our home base in Saint James, Long Island to your event location.
Mileage is calculated after booking based on the address you provide and added to your remaining balance. A secure payment link will be sent once mileage is confirmed.
No event will be serviced unless the full balance, including mileage, has been paid.
3. Cancellations & Rescheduling
All deposits are non-refundable.
If you need to cancel or reschedule:
• If more than 7 days’ notice is given, your deposit may be applied as a credit toward a new date, subject to availability.
• If canceled within 7 days of the event, all payments are forfeited and no credit is issued.
No-shows or refusal of service due to unsafe or inaccessible conditions are treated as cancellations.
All cancellation or reschedule requests must be made by calling or texting Hoop New York at 631.513.1622
4. Weather Policy
Hoop New York operates rain or shine unless weather conditions are unsafe for guests, staff, or equipment.
If weather prevents safe operation, we will work with you to reschedule. Refunds are not issued for weather-related cancellations.
5. Setup & Space Requirements
You must provide a safe, flat, and accessible setup area large enough for the Hoop NY trailer and gameplay area.
You are responsible for:
• Securing any required permits
• HOA or venue approval
• Ensuring access for our vehicle and trailer
If we arrive and cannot safely set up, the booking is forfeited with no refund.
6. Supervision & Use
A dedicated On-Site Arcade Specialist will be present throughout your event.
Clients and guests must follow all safety instructions. We reserve the right to pause or terminate gameplay if unsafe behavior occurs.
No one under the influence of alcohol or drugs may operate or interfere with equipment.
7. Damage & Liability
The client is financially responsible for any damage to Hoop New York equipment caused by misuse, negligence, or guests.
Hoop New York is not responsible for:
• Injuries
• Lost or stolen items
• Accidents related to gameplay or event conditions
By booking, you assume all risks associated with participation.
8. Force Majeure
We are not liable for cancellations due to events beyond our control, including but not limited to extreme weather, mechanical failure, accidents, or government restrictions.
In such cases, we will work with you to reschedule.
9. Photography & Marketing
By booking, you grant Hoop New York permission to use photos or video captured at your event for marketing and promotional purposes unless you notify us in writing before your event.
10. Agreement to Terms
By completing a booking, submitting payment, or signing our booking form, you confirm that you have read and agree to these Terms & Conditions.
